How to configure Contact types

Introduction


This is an important one as it allows you to properly categorise the contacts on your account. Setting this up correctly will allow you to manage your contacts better and also use this for your owner lead management.




How to set up Contact Types?


1/   On your iPro Dashboard, go to Settings > Contact Type:




2/ This will bring you to the Contact Types dashboard which will include a list of default values already available on your account. You can edit or delete the values by clicking on the appropriate icon under the Actions column. Take note that you will see standard system Contact Types that cannot be edited/deleted such as Renter, Owner, etc:




3/ To add a new Contact Type, click the 'Add New Contact Type' button on the upper right corner:




4/ The Add Contact Type window will pop-up:



  • Description - input the name of the contact type that you need to add. This could be a cleaner, gardener, electrician, etc. We recommend that you use specific descriptions as this makes it easier to identify their role when used as assigned contacts on a property.

  • Supplier - set to 'YES' if you want the contact type to be included in the Property Management module. This means that you can create tasks and then allocate them to this contact type. This is also for contacts that will be used as assigned contacts on your properties such as plumbers, gardeners, keyholders, etc.


Once you are done, click 'SAVE'. You will now see the new contact type listed on your Contact Types Dashboard:





How to utilise Contact Types for Owner Lead Management?


1/ Add the following additional Contact Types to your account:




2/ On your website, you should have a very good page for enticing and securing new owners where they can reach out to you with the intent of adding their property to your portfolio. These owner leads can then be added to your account as contacts where you can record all communication and track their progress using the contact types below:


  • Owner: Lead - use this type as the first stage when owner lead contacts you showing interest

  • Owner: Opportunity - use this type when you and the owner are both interested in the terms and opportunity available within your agency/company

  • Owner: Contract Sent - use this type when the owner contract has already been sent
     
  • Owner: Closed - use this type when the contract has been signed, returned and everything has been agreed upon


Once their property has already been added and set up, you can then update their record to use the standard OWNER contact type.


Utilising this feature allows you to do owner lead management all within iPro without having to use a separate system.
